Who we are, and how to contact us about data protection
Spectrum Health UK is the trading name of Spectrum Health UK LTD. We are a data controller of your personal data.

What kind of personal information we collect
Personal and contact details including history such as first name, surname, email, address and phone number
Your date of birth, gender and age
Emergency contact information
Information about your health – only when relevant to the provision of our services to you (please see below for more information on relevance of information collected)
Purchase information – including any products/services you currently hold with us and/or have purchased in the past
Visit information – including past and future appointments
Health Insurance information – where relevant
Records of your contact with us
Marketing information including history of communications with you by email, and whether you open them or click on links
Financial and transactional data – when you make a payment with us in studio or over the phone, the transaction is processed by our business management software, TM3. TM3 is not yet able to store billing information however are looking to introduce this service in the near future. When you make a payment or, in time, store billing information with us your personal information will be collected by their third party payment processors directly and not by us, and will be subject to the third party’s privacy policy. We have no control over, and are not responsible for, third parties’ collection, use and disclosure of your Personal Information.

Sources of personal information about you
There are a number of ways in which we receive personal information from you:
Directly – either in person, via the phone or submissions through our website or social media platforms
Information generated about you when you use our practices, services, and website (either directly or through GoogleAds)
Formal correspondence with external health practitioners
Physiotherapy services
When necessary/appropriate, your Physiotherapist and team here at Spectrum Health UK will communicate with your referring practitioner or to any outwardly referring practitioner. This may include relevant personal information which you have provided either directly or indirectly to us. The medium in which this information is shared could be via phone, mail, email, SIILO encrypted medical messaging or Egress Switch. This will be communicated with you in advance and should you not wish your therapist to do so, please inform them directly.
Our website
We collect Cookies and Google Analytics data from you when you visit our website. We use this data to determine the number of people using our site and to better understand how they find and use our web pages. We do this to improve your experience as well as our business.
You can switch off cookies off in your browser, should you wish to do so.
Our philosophy
We take data protection seriously and only collect information from you that is necessary to provide you with the best service that we can. We will only disclose information provided to us for the reasons discussed in this policy, unless we are legally entitled or obligated to do so. We do not buy or sell your information in any way.

We have the right to use your information in the provision, administration or management of products and services in relation to Spectrum Health UK. This includes internal quality control, to ensure we continue to improve our service to you. We will also use your information when required for management and auditing of our business and its successful operation, including market research and analysis

If your circumstances change, we would be most grateful for you to contact our team directly to inform them so that we can keep our information as accurate as possible.
How long we retain your personal information for
We will retain your information for as long as we have reasonable business needs and in line with legal and regulatory requirements.
Your legal obligations and rights
You are obligated to provide accurate information to us. We will indicate which pieces of information are compulsory and optional. If you withhold information from us relating to any injuries, medical conditions or other issues that could affect your ability participate in treatment safely, we cannot be held responsible or liable for any injuries you suffer as a result. It is also for the safety of our staff that these answers are accurate, so that they are not at risk in any way.
Conversely, you have the right to access your personal information held by us as specified under relevant UK privacy legislation, including how we process it. You also have the right to request that we erase all personal data about you. Any requests relating to data access or information should be emailed to info@spectrumhealthuk.com.
Third Party Vendors
At Spectrum Health UK, we don’t share your data with any third parties other than those listed below. The below parties are utilised to service our business. We have no control over, and are not responsible for, third parties’ collection, use and disclosure of your Personal Information.

TM3 – TM3 is our diary and business management software in which we store and manage your personal data to enable us to provide our services to you.
TrackActive – We use TrackActive to create and monitor home exercise programs for our clients.
Healthcode – We use Healthcode to submit some of our private health invoices direct for processing.
Google Analytics – We use Google Analytics/Ads to analyse how users interact with our site to improve our business processes and your experience with us.
Regrettably we cannot be responsible for the privacy policies and practices of other websites even if you access them using links from our site or emails and recommend that you check the policy of each site you visit.
